AISing Ltd. (hereinafter referred to as “the Company”) protects and handles appropriately the personal information obtained from users, customers, etc. (hereinafter collectively referred to as “users”) in accordance with the Act on the Protection of Personal Information (Act No. 57 of 2003, hereinafter referred to as “the Act”) and other related laws, guidelines, etc. (hereinafter collectively referred to as “the Act, etc.”) , and we will also strive to protect personal
information appropriately in accordance with our separately stipulated personal information protection policy.
1.Definition of personal information
Personal information refers to information concerning an individual who is alive, which can identify a specific person through details such as name, date of birth, and other descriptions. It includes information that can be easily matched with other data thereby allowing for the identification of specific individuals, as well as personal identification codes as defined in Article 2, Paragraph 2 of the law.
2.Methods of obtaining personal information
We obtain personal information through the following methods;
By receiving it directly from users, etc.
By automatically recording it when users, etc. use the Company’s website
By receiving personal information obtained by a third party
By receiving informative data obtained by a third party and comparing it with the personal information held by the Company
By obtaining public information through publications, the Internet, etc.
3.Purposes of use of personal information
The purposes for which our company collects personal information from users (which may include informative data as described later) are as follows;
Customer Information
①To provide information on sending materials that users have requested to download.
②To respond to inquiries from users.
③To understand and analyze the usage status of the company’s website
Information obtained through sales activities, public information, etc.
① For sales activities, credit management, and business communication
Shareholder information
① To exercise rights and fulfill obligations under the Companies Act
② To provide various conveniences from the Company to the position of shareholders
③ For shareholder management, such as preparing shareholder data based on prescribed standards in accordance with various laws and regulations
Employee information (including temporary staff, part-time workers and retired employees)
① For business communication and personnel management
Information on recruitment applicants
① For recruitment selection, communication with applicants and onboarding procedures upon hiring.
4.How personal information is managed
The Company shall manage personal information obtained from users appropriately in accordance with laws, etc. and the Company’s regulations.
5.Provision of personal data to third parties
Except in the following cases, the company shall not provide personal data to third parties without obtaining the prior consent of the users.
When required by law
Cases in which there is a need to protect the life, wellbeing, or property of an individual, and it is difficult to obtain the consent of the identifiable person
Cases in which there is a special need to improve public wellbeing or promote healthy child development, and it is difficult to obtain the consent of the identifiable person
Cases in which there is a need to cooperate with a national government organization, local government, or person entrusted thereby with performing the functions prescribed by laws and regulations, and obtaining the consent of the identifiable person is likely to interfere with the performance of those functions.
6.Entrustment of handling personal information
The company may entrust the handling of personal information to third parties within the scope necessary to achieve the purposes outlined in Section 3, “Purpose of Use of Personal Information.” In such cases, the company selects and assigns the appropriate trustee, imposes obligations on them to protect personal information, and conducts supervision accordingly.
7.Procedures for disclosing, correcting, etc. personal data

If you need to request disclosure or correction of the personal data held by the company, please send your request via email to the address below. We do not accept requests made by mail, fax, or phone. Please note that after your request, we may verify your identity using the method and materials specified by the company.

The personal information obtained by the company through your request will be used only to the extent necessary for procedures such as investigation, identity verification, and responses.
We will respect your preference regarding the method of response to your request; however, in principle, it will be based on the method that the company deems to be reasonable.
Please note that we may not be able to comply with your request. The specific reasons are as follows, but they are not limited to these.
①Cases in which the company cannot confirm that you are the person in question or a legitimate representative
②Cases in which there are any deficiencies in the content of the request
③Cases in which the request does not meet the requirements for responding to requests as stipulated by law
④Cases in the request do not require a response as stipulated by law

9.Informative Data
The Japan Interactive Advertising Association (JIAA) defines informative data as information that cannot independently identify a specific individual but may raise privacy concerns, as well as statistical information about individuals presented in a manner that cannot be associated with any particular individual. This includes identifiers such as postal code, email address, gender, occupation, hobbies, customer number, cookie data, IP address, device ID, and other identifying information. It also encompasses location data, browsing history, purchase history, and additional log information related to internet usage (includes information obtained through processing personal data to prevent individual identification, as well as information that has been made confidential through encryption or other methods). The company may use the data to match personal information, respond appropriately to users, inquiries, manage the system, prevent, verify, and enforce against fraudulent activities, and enhance security. In such cases, we will also treat informative data as personal information.
10.About cookies
Cookies are a mechanism by which website providers store data on the user’s computer through the browser (hereinafter, technologies with similar mechanisms are collectively referred to as “cookies”). The company utilize cookies ① that are essential for website operation and ② to help us understand website usage conditions. When users, visit our website, cookies may be issued to their devices by the company or the third parties. Cookies issued by third parties are managed by the third party and will be handled in accordance with the third party’s privacy policy and other agreements.
11.Handling of access history, etc.
Our website records access history of users and others for the purpose of website maintenance and service improvement. Access history includes information such as the domain name and IP address of users, who have accessed the website, the type of browser and OS used, the date and time of access, and the pages viewed. However, this information alone cannot be used to identify specific individuals, and unless the users has given consent, the Group will not use this information obtained from third parties in conjunction with personal information held by the Group. In addition, there may be instances where information is provided to sources or service providers for similar purposes. However, if it is anticipated that the information will be used as personal data that can identify a specific individual at the recipient’s end, we will ensure that prior consent from the individual has been obtained before proceeding.
